One subscription covers every team, every age group and every login, from the chair to the newest parent. We don't count heads. Q: Do the prices include VAT? A: No. Every price is shown without VAT, with a + VAT marker beside it. VAT at 20% goes on the invoice, and most grassroots clubs are not VAT registered and cannot reclaim it, so the monthly cost lands at £22.80 on Starter, £54 on Club and £106.80 on Pro, billed annually. Reload IT Ltd is VAT registered, number 242270045. Q: What does payment processing cost? A: A platform fee that gets cheaper as you move up, plus VAT, plus Stripe's own standard charge of 1.5% + 20p. Starter is 2.5% + VAT, Club is 1% + VAT, Pro is 0.5% + VAT. Add VAT at 20% to the platform fee and Stripe's charge on top, and the all-in figure works out at about 4.5% + 20p on Starter, 2.7% + 20p on Club and 2.1% + 20p on Pro. Worked on a £300 sub: Starter costs the club about £13.70 all in, Club about £8.30, Pro about £6.50. The club absorbs it and parents never see a surcharge at checkout, and if a club refunds a family, our platform fee comes back too, pro rata; Stripe's own charge does not. Q: Can we switch tiers mid-season? A: Yes, whenever you like. Pay monthly and you're never locked in for a season, or pay annually and save 15%. Moving down deletes nothing: content from features you stop using is kept, and children's records are never orphaned by a downgrade. Move back up later and it's all still there waiting. Q: What happens if we cancel? A: You keep full service to the end of whatever you've paid for. After that there's a 30-day window to export everything as portable files, registration, medical and safeguarding records included, and members are told too, so parents can request their own children's records. Nobody's data is ever stranded. Leaving is as tidy as joining. Q: Do parents pay to use the app? A: No. The club's subscription covers every parent and player login, and the only money a parent ever pays is whatever the club itself charges, like subs or match fees. Q: Can a coach message my child directly? A: No. Messaging a child's family runs through the club, and there is a record of who can contact whom. Q: How long is my child's data kept? A: Records are held to a retention period rather than forever, and a club can tighten that further. Data that no longer needs to exist stops existing. Q: Does this replace DBS checks or our welfare officer? A: No. The platform keeps a proper record and makes the right thing the easy thing, but DBS checks, your club welfare officer and your obligations to the FA and your league stay with the club and its people. A: Club data lives in Supabase's eu-west-2 region, London, and the functions that serve it are pinned to the same region on Vercel. Nothing routes outside the UK by default. Q: Is my club's data encrypted? A: Yes. Every connection runs over TLS, and the database encrypts data at rest. There is no plain-text path between a browser and a club's records. Q: Do admin accounts need multi-factor authentication? A: Yes, and it cannot be switched off. Every club admin account requires MFA to sign in, because an admin login reaches children's data. Q: What happens if something goes wrong or data is lost? A: Point-in-time recovery plus 30 days of backups mean a mistake or an outage does not cost a club its data for good. Q: Have you had a penetration test? A: The platform gets an independent penetration test before it goes live, and again every year after that. Q: How do I report a security issue?
